Architecture Firms — Data Analyst

A senior data analyst for architecture firms

Architecture firms win work on reputation, but reputation only travels as far as the portfolio does. A principal researching firms compares project galleries, checks licensure and sector experience, and then goes quiet for weeks while a proposal is weighed against two or three competitors. Meanwhile the practice itself runs on coordination: consultants to chase, drawing revisions to track, fee proposals to follow up, and past project knowledge that lives in one partner's head.

A data analyst turns the numbers your business already produces into decisions: which services sell, which marketing brings enquiries that close, where margin leaks, and what next month is likely to look like. For architecture firms, the valuable dashboards are usually few and specific: pipeline and close rates, marketing source performance, margin by job or product, and the operational numbers that predict next week's workload. Reports are built to be read in minutes, and every number can be traced back to its source.

For a practice, the numbers that matter are win rate by project type, fee realisation against proposals, pursuit cost per win, and which marketing sources bring enquiries that actually convert. A dashboard that shows those four views lets partners decide where to bid and where to stop spending.

I am Omer Muneer Qazi, with 15+ years of experience and 100+ projects delivered. For architecture firms, that experience is applied to your industry specifically — its buyers, its tools and its working rhythms — not to a generic brief with an industry name swapped in. Book a free discovery call and we will test the fit before any scope is agreed.

What you get

What this engagement covers for architecture firms

  • Dashboards for pipeline, close rates and lead sources, updated automatically
  • Margin and profitability views by service, job or product line
  • Marketing performance tied to enquiries that actually closed, not clicks
  • Operational reporting: workload, capacity and upcoming deadlines in one view
  • Data cleanup and definitions, so the team agrees what each number means
  • Monthly insight briefs: what changed, why, and what to do about it
The tools of the trade

Built around the systems architecture firms actually runs

The tools of the trade are specific. Design and documentation run through Autodesk Revit and AutoCAD, with ArchiCAD, Rhino and SketchUp in many studios, and Lumion or Enscape for visualisation. Coordination and markup happen in Bluebeam Revu, project delivery in Procore or Newforma, and practice management in Deltek Ajera, Monograph or BQE CORE. Any new system has to sit alongside that stack, not replace it: drawings, transmittals and fee data already have a home, and the work is to connect them to the firm's pipeline and client communication instead of asking staff to re-enter everything twice.

That is why the engagement starts with your stack, not a sales pitch for a new one. The data analyst work is scoped against the systems above, the data they hold, and the people who use them daily, so what is built fits the business instead of fighting it.

How it works

From kickoff to delivery

  1. Agree the questions

List the decisions the numbers must support, before any dashboard is built.

  2. Connect and clean

Pull data from your real systems, fix definitions, and document every source.

  3. Build the few dashboards that matter

Ship a small set of views your team will actually open weekly.

  4. Review and act

Walk through the numbers monthly, and change the business on what they show.

FAQ

Questions, answered

Our data is messy. Can you still help?
Yes. Messy data is the normal starting point. The slice needed for the first dashboards is cleaned and defined, and the rest is tackled as it becomes useful.
Do we need new software?
Usually not at first. Dashboards are built on the systems you already use, and new tools are only recommended when the existing ones cannot answer the question.
How often are reports updated?
Automatically where the source allows it, and reviewed with you monthly so the numbers turn into actions, not just a PDF nobody opens.
How do you handle portfolio confidentiality for unbuilt or NDA projects?
Only work you clear for publication is shown, and unbuilt or confidential projects can be presented as sector experience, anonymised visuals, or a private portfolio shared under NDA during a proposal. Nothing goes live without a partner's sign-off.
Our project data lives in Revit, Bluebeam and email, not a CRM. Is that a problem?
No. That is the normal starting point for a practice. The first job is usually to give enquiries, pursuits and fee follow-ups one home, then connect it to the tools you already use, rather than forcing the studio onto a new platform.
